Complete one of these explanations for each AI system in your Enterprise AI Register. Provide it to all workers, contractors, and stakeholders who interact with or are affected by the system — before the system is used. Plain language is mandatory.
System Overview
What is this system called?
[System name]
What does it do? (plain language)
[Explain what the system actually does in one or two sentences that a non-technical person would understand. e.g. "This tool reads project documents and automatically highlights anything that looks like a safety risk or contractual issue, so our team can review it more quickly."]
What data does it use?
[List the types of information the system processes — e.g. project drawings, employee timesheets, site photos, tender documents. Note if it uses any personal information.]
What decisions does it influence?
[Describe the decisions that this system's outputs are used to inform. Be specific. e.g. "It helps our estimating team calculate labour costs, but all estimates are reviewed and approved by a senior estimator before submission."]
Limitations & Oversight
What are its known limitations?
[Describe situations where the system may be less accurate or reliable. e.g. "The system has been trained on Australian construction projects. It may produce less accurate results for projects with unusual scope, remote locations, or materials not commonly used in Australia."]
How are outputs reviewed?
[Describe who reviews the AI output and how — e.g. "All outputs are reviewed by [role] before any action is taken. No decision based solely on this system's output will be made without that review."]
Your Rights
How to contest a decision
[Explain how a worker or stakeholder can request a human review of an AI-influenced outcome. Include contact name, method, and expected timeframe.]
